Delivery

  • Tiffany Leighton Ozmina must be notified in advance of delivery or movement of large equipment through Silverman Hall so that she can ensure that appropriate procedures are followed.
  • You must place padding in Silverman Hall passenger elevators before moving equipment through these elevators. Please obtain padding from Tiffany.

Service Contracts

  • Centers/Cores are responsible for maintaining service contracts for all appropriate instrumentation.
  • Copies of current contracts must be provided to Michelle Suran
  • Calls for service are to be initiated by appropriate Center/Core staff.

Equipment Inventory Management

  • Each Center is responsible for keeping current an inventory of all equipment and instrumentation and initiating contract extensions.
  • Information included in the inventory should include:
    • Name of Instrument
    • Vendor-manufacturer
    • PO #
    • Mfgrs ID #
    • University tag #
    • Room location
    • Source of funds used to purchase instrument
  • An updated copy of Center/Core Inventory spreadsheets must be submitted to Michelle Suran on Jan. 1st of each year. Templates will be distributed to each Core/Center to use in managing inventory. See sample below:

RESEARCH SAFETY

Each Center/Core is responsible for contacting the Office for Research Safety (ORS) and working with ORS to identify safety concerns and precautions (see Safety Information for Lab Managers).

Training of Center/Core technical staff in appropriate safety precautions is the responsibility of the Center/Core leadership.

CLP-Affiliated Cores/Centers are expected to use ChemTracker to track inventories of chemicals held in Center/Core labs. Inventories are to be kept up-to-date.

Development and distribution of procedures for appropriate methods of disposal of old and used chemicals, radioactive materials, and bio-contaminated waste and other potentially hazardous materials are the responsibility of center/core leadership.

Center/Core leadership are expected to document safety procedures and training and to have this documentation readily available in notebooks and electronically.

Centers and Core leadership are responsible for adherence by Center/Core staff to all University, local, state and federal policies regarding safe laboratory operation.

FACILITIES MANAGEMENT

Renovations

  • To request renovations to laboratories and offices you will need to work with your center and/or core director. Renovations to center space must be pre-approved by the Director of CLP, Tom O’Halloran and coordinated through Sheila Judge and Tiffany Ozmina.

Keys

  • Obtaining keys: Keys for all sites in Silverman Hall are issued only by CLP. Faculty, students and staff must complete a key form for the type of key they are requesting.  All forms are available at clp.northwestern.edu/clp/key-forms .
  • Completed forms should be submitted to Tiffany in Silverman 3601 who will place the order with the NU Lock Shop.
  • Tiffany will inform you by email of the keys arrival and you will be able to pick it up from suite 3601. You must bring your Wildcard for identification. 
  • Lost Keys: Please notify Tiffany Leighton Ozmina immediately if you have a lost a key or fob so that she can deactivate it. New keys will not be issued until the missing key has been deactivated. Your department will be charged for key replacements.
  • Leaving Northwestern: Faculty, students and staff leaving NU must return Silverman keys and fobs to the Institute.

NUIT

Voice and Data Communications

  • Requests for activations for new data jacks or new phones are submitted by Tiffany. Centers and cores will need to provide a chartstring to cover activation costs (see NUIT Rate Guide).
  • The Chemistry of Life Processes Institute is expensed annually by the Office for Research for telecommunications. These charges are based on quarterly averages of NetIDs issued by CLP. CLP will pass on the appropriate charges through journal voucher to the Centers operating accounts based on personnel count. You will be notified by email by Michelle Suran regarding the Center/Core employees that were counted as a basis for your expense.

Copier/Scanner

The Chemistry of Life Processes Institute has installed a mid-size networked machine for copying (b&w and color) and scanning in room 4704. The price per page is $0.04 for b&w and $0.12 color copies. Scanning is free.

To set up a copy/print account send an active non-sponsored chartstring to Tiffany Leighton Ozmina.  CLP will pass on the appropriate charges through journal vouchers to the chart string provided.

Cell Phones

  • If you are highly certain that you or a member of your Center/Core require use of a mobile device solely for NU related business (and have no personal usage of the device), then it is permissible to have your discretionary budget pay for the device and its associated service plan
  • All reimbursement for mobile communication expenses are aligned with the University’s Cell Phone and Mobile/Home Computer policy. The Annual Cell Phone Agreement is completed annually and retained on file within CLP.  Please see Mobile Guidelines
